This notice covers the website. What our two settings hold about a child is a separate document, and that one is still being prepared.
Alamiyah Educational Foundation is the controller for personal information collected through this website. It is registered in England and Wales as charity 1158578 and as a company limited by guarantee, number 08922089. Its data-controller registration number is ZA226251.

Contact and visit forms collect your name, email address, any telephone number you give, the setting you ask about, your child's name and age where requested, your message and the submission date. These entries are held in our enquiries register.
An application collects your child's first and last names, date of birth, sex and home address; the names, relationships, telephone numbers and email addresses of the contacts you provide; how you heard about Alamiyah; your chosen setting and preferred starts; anything else you tell us; your optional newsletter choice; and the application's submission, payment and administration records. These entries are held in our applications register.
While you complete an application, this browser keeps a draft of those answers for up to 24 hours. The draft never includes your child's name, date of birth or home address. The draft does not include the automated abuse check or hidden anti-spam field. It is cleared after payment is verified or when you choose Start over.
When you donate, Stripe receives the amount, frequency, name, email address and billing address, plus any Gift Aid declaration, acknowledgement name or message you add. Card details go directly to Stripe and never reach us.
The newsletter box takes your email address. We add you to the list only after you confirm by email, and every message carries an unsubscribe link.
If you allow analytics, our tools record the pages you open, your approximate location, device and browser and, through Microsoft Clarity, scrolling, mouse movement and clicks. They record nothing before you consent.
We answer enquiries because it is in our legitimate interests. We process application details and the registration charge because you have asked Alamiyah to take steps towards a place for your child, and use the details to manage the waiting list and contact you about the application. We take a gift because you have asked us to, and rely on your consent for any newsletter subscription and for anything the analytics category covers.
Cloudflare, which every request to this site passes through, and Cloudflare Turnstile, which checks our forms for automated abuse.
Our self-hosted Appwrite database, on a server we rent and control, holds the site pages and our enquiries and applications registers.
Stripe, which takes payments. For a donation it holds the amount, date, name, email address, billing address and anything you add for Gift Aid. For an application it receives the application reference, contact email address, registration charge, currency and payment status. Card details go directly to Stripe and never reach Alamiyah.
Brevo, which runs our mailing list, sends waiting list and optional newsletter confirmation emails, and holds the contact name, email address and list membership needed for those messages. Mailgun delivers our email replies, application notifications and acknowledgements.
Google Analytics 4, Microsoft Clarity and our self-hosted Umami provide analytics. None loads until you consent to analytics.
We do not sell your information or share it for advertising. We share it only with the providers listed above or where the law requires us to.
Our own store and Umami sit in the United Kingdom or the European Union. Cloudflare, Stripe, Google and Microsoft are American companies, so information reaching them leaves the United Kingdom, and we hold a data processing agreement with each of them covering that.
Authorised staff can see the enquiries and applications registers in the editing area and can export each register as a CSV file.
An enquiry is kept while we are dealing with it and for as long afterwards as we might reasonably need to remember the conversation. We have not published a schedule in weeks and years because we do not have one yet, and you can ask us to delete something before we do. Records of a gift are kept for as long as charity and tax law require.
Unpaid applications in awaiting-payment or expired states are deleted after 30 days. Applications with payment exceptions are held for staff review. Paid and refunded applications follow Alamiyah's admissions and financial retention schedule.
You may ask us for access to your information, to correct or erase it, to restrict how we use it, to provide it in portable form, or to stop processing it where you have a right to object. These rights depend on the circumstances. You may withdraw consent at any time without affecting earlier processing. Requests are normally free, although the law permits a fee or refusal for a manifestly unfounded or excessive request.
